Note: Sending cold email from aliases is not a best practice. All aliases send through one Google mailbox, so they share one sender reputation and one daily sending quota. For the best deliverability, use separate Google Workspace users (one mailbox per sender) instead of aliases. See Best Practices for Email Sender or Cold Email Mailbox.
Overview
SalesBlink can connect each alias of a Google Workspace mailbox as its own email sender. Each alias sender has its own:
- WarmUp settings and statistics
- Daily sending limit
- Sender name and signature
This guide uses the following example. Replace these addresses with your own:
| Role | Address |
|---|---|
| Primary mailbox (the account you sign in to Google with) | john@yourcompany.com |
| Aliases on that mailbox | gloria@yourcompany.com, sara@yourcompany.com, matilde@yourcompany.com |
At the end you will have four separate senders in SalesBlink: one for the primary address and one for each alias. You can also connect only the aliases and leave the primary address out.
How aliases work in SalesBlink
An alias has no password and no inbox of its own. Google signs in and stores mail only for the primary mailbox. When you connect an alias, SalesBlink:
- Signs in to Google as the primary mailbox.
- Sends email with the alias in the From field.
- Reads replies and WarmUp emails from the primary mailbox's inbox, because all mail sent to the aliases arrives there.
This is why the login details are always the primary mailbox's, and only the sending address changes.
| Separate for each alias | Shared by all aliases of the mailbox |
|---|---|
| WarmUp on/off and WarmUp settings | Google login and App Password |
| Daily sending limit in SalesBlink | Google's daily sending quota for the mailbox |
| Sender name and signature | The inbox where replies arrive |
| Sequences and sending schedule | Domain reputation and DNS (SPF, DKIM, DMARC) |
Prerequisites
- A Google Workspace mailbox (for example,
john@yourcompany.com) - Each alias added to that user in the Google Admin console
- Each alias added and verified under Send mail as in Gmail
- IMAP access turned on for the mailbox (turned on by default in most Workspace accounts)
- For Method 1: the SalesBlink app approved as Trusted in your Google Admin console
- For Method 2: 2-Step Verification turned on for the primary mailbox and an App Password generated
Step 1: Confirm each alias is set up in Gmail
SalesBlink can only send from an address that Gmail allows the primary mailbox to send as. You can see a mailbox's aliases in two places: the Google Admin console and the mailbox's Gmail settings. Check both before you connect anything, because an alias must appear in both to work in SalesBlink.
Check existing aliases in the Google Admin console
- Sign in to the Google Admin console as an admin.
- Go to Directory → Users and click the primary mailbox user (for example,
john@yourcompany.com). - Click User information and look at Alternate email addresses (email alias). Every alias of this mailbox is listed there.
If an alias you need is missing, add it here:
- In Alternate email addresses (email alias), add the alias (for example,
gloria,sara,matilde). - Click Save.
New aliases can take up to 24 hours to start working. See Google's guide to adding an alternate email address for details.
Tip: If you are not a Workspace admin, skip the Admin console and check Gmail settings instead. Ask your admin to add any alias that is missing.
Check existing aliases in Gmail settings
- Sign in to Gmail as the primary mailbox.
- Click the Settings gear icon and select See all settings.
- Open the Accounts tab (called Accounts and Import on some accounts).
- Look at the Send mail as section. Every address listed there, apart from the primary address, is an alias this mailbox can send from.
If an alias is listed in the Admin console but not under Send mail as, add it:
- In the Send mail as section, click Add another email address.
- Enter the sender name and the alias address, then click Next Step.
- Complete the verification if Gmail asks for it. Aliases on your own Workspace domain are usually verified right away.
- Repeat for each alias.
When you are done, each alias should be listed under Send mail as without a "verify" or "unverified" link next to it.

Note: SalesBlink only lists aliases that Gmail has marked as verified. If an alias does not appear in SalesBlink, it is usually still unverified in Gmail.
Step 2: Connect each alias as a sender
There are two ways to connect aliases. Pick one method per mailbox and use it for every alias on that mailbox, then follow that method's section below.
| Method | Best for | What you need |
|---|---|---|
| Method 1: Google OAuth (recommended) | Most Google Workspace accounts | Workspace admin approval of the SalesBlink app |
| Method 2: App Password (SMTP/IMAP) | Accounts where OAuth is not allowed | 2-Step Verification and an App Password on the primary mailbox |
Method 1: Connect aliases with Google OAuth (recommended)
With OAuth, you sign in with the primary mailbox once for each sender. After each sign-in, you choose which address that sender will send from.
Before you start
Your Google Workspace admin must approve SalesBlink as a trusted app. Follow the Option 2: OAuth steps in Connecting Google Workspace (G Suite) to do this. Without it, Google shows an App not verified or Access blocked error.
Connect the first alias
- In SalesBlink, go to Outreach → Email Senders.
- Click Add Sender.
- Select Gmail (Google Workspace).
- Confirm IMAP is on and click Yes, IMAP has been enabled.
- Select Option 2: OAuth and click Next.
- Click Login and sign in to Google with the primary mailbox (
john@yourcompany.com). Do not try to sign in with the alias, because Google has no separate login for aliases. - Allow the permissions Google asks for.
- You are taken back to SalesBlink. In Select Sending Address, pick the alias you want this sender to use (for example,
gloria@yourcompany.com). - Enter the Sender Name your leads should see (for example,
Gloria). - Click Save and finish the remaining steps (domain and signature settings).
The sender now shows up in Email Senders as gloria@yourcompany.com.
Note: The Select Sending Address dropdown defaults to the primary address. If you save without choosing an alias, the sender is created as
john@yourcompany.com. To fix this, follow Change the alias or sender name later.
Connect the remaining aliases
Repeat the steps in Connect the first alias for each alias. Each time:
- Click Add Sender → Gmail (Google Workspace) → Option 2: OAuth again.
- Sign in with the same primary mailbox.
- In Select Sending Address, pick the next alias (for example,
sara@yourcompany.com, thenmatilde@yourcompany.com).
SalesBlink hides any address that already has a sender, so the dropdown only lists the ones you have not connected yet. After all addresses of the mailbox are connected, clicking Add Sender again with the same mailbox shows an "already exists" message. This is expected.
Note: If the primary address (
john@yourcompany.com) is already connected in SalesBlink with an App Password (SMTP/IMAP), the OAuth connection is blocked with an "already exists" message. Delete that SMTP sender first, or use Method 2 for all aliases instead.
Change the alias or sender name later
You can switch an OAuth sender to a different alias, or change the name leads see, at any time:
- Go to Outreach → Email Senders.
- Click the Edit (pencil) icon next to the sender.
- In Select Sending Address, pick the alias this sender should send from. Only the primary address and aliases that are not used by another sender are listed.
- Update Sender Name if needed (for example,
Sara). - Click Save.
Emails from this sender now go out from the new alias and name.
Method 2: Connect aliases with an App Password (SMTP/IMAP)
Use this method if your organization does not allow OAuth apps. You create one App Password for the primary mailbox and use it for every alias.
Create an App Password for the primary mailbox
- Sign in to your Google Account as the primary mailbox (
john@yourcompany.com). - Turn on 2-Step Verification under Security if it is not already on.
- Search for App Passwords in the search bar at the top and open it.
- Enter SalesBlink as the app name and click Create.
- Copy the 16-character password. You can paste it with or without spaces.
For screenshots of these steps, see Option 3: App Password in Connecting Google Workspace (G Suite).
Note: Aliases do not have their own password or App Password. Always create the App Password while signed in as the primary mailbox.
Add each alias as a sender
- In SalesBlink, go to Outreach → Email Senders.
- Click Add Sender.
- Select Gmail (Google Workspace), click Yes, IMAP has been enabled., then select Option 3: App Password and click Next. SalesBlink fills in the Gmail server settings for you.
- Enter the details below. The two email fields must be different:
| Field | What to enter | Example |
|---|---|---|
| Sender Name | The name your leads will see | Gloria |
| Sender Username (SMTP) | The primary mailbox address | john@yourcompany.com |
| Sender Email Address (SMTP) | The alias address | gloria@yourcompany.com |
| App Password | The App Password of the primary mailbox | abcd efgh ijkl mnop |
| SMTP Host | smtp.gmail.com | smtp.gmail.com |
| SMTP Port | 465 | 465 |
| IMAP Host | imap.gmail.com | imap.gmail.com |
| IMAP Port | 993 | 993 |
- Click Next. SalesBlink tests the connection in the background. This can take a few minutes.
- Repeat these steps for each alias. Keep Sender Username (SMTP) and App Password the same every time, and change only Sender Name and Sender Email Address (SMTP).
SalesBlink names each sender after the Sender Email Address (SMTP) field, so the senders appear as gloria@yourcompany.com, sara@yourcompany.com, and matilde@yourcompany.com.
Why these fields matter
- Sender Username (SMTP) is the login that Google checks for both sending (SMTP) and reading replies (IMAP). Google only accepts the primary mailbox here. If you enter the alias, Google rejects the login and SalesBlink shows email password or app password incorrect, even when the App Password is correct.
- Sender Email Address (SMTP) is the address in the From field of your emails and the name of the sender in SalesBlink. Put the alias here.
Tip: If you connect through Any Provider with Service set to SMTP and IMAP, leave Use Different Email Address for Incoming Emails unchecked. You do not need it for Gmail aliases, because the Sender Username already reads the primary inbox. If you check it, SalesBlink also sets the Reply-To header to the incoming address, so leads would see and reply to
john@yourcompany.cominstead of the alias.
Step 3: Enable WarmUp separately for each alias
Once the senders are connected, each one has its own WarmUp settings. WarmUp is off by default for new senders. If you ticked WarmUp this email address for better deliverability while connecting a sender, WarmUp is already on for it.
- Go to Outreach → Email Senders.
- Find the alias sender you want to warm up (for example,
gloria@yourcompany.com). - In the Warmup column, click the red ✕ icon to turn WarmUp on. If you see a green ✓ icon, WarmUp is already on.
- In the confirmation dialog, tick Yes, I understand and click Enable WarmUp.
- To change the daily WarmUp limit or ramp-up for this sender, click the green ✓ icon, then click Settings on the WarmUp Report page.
- Repeat for each alias.
WarmUp emails sent to each alias arrive in the shared primary inbox. SalesBlink tells them apart with a unique WarmUp keyword per sender, so each alias is warmed up and tracked on its own. For more on WarmUp settings, see Email WarmUp.
Note: Because every alias sends from the same mailbox, the reputation that WarmUp builds is shared by the primary address and all of its aliases. Warming up four aliases does not give you four independent reputations. It adds to the load on a single mailbox. Keep total WarmUp volume across all aliases modest, and do not expect an alias to have better inbox placement than its primary mailbox.
Plan your sending volume
Google sets a daily sending quota for each mailbox, not for each alias. Everything sent from the primary address and all of its aliases counts toward that one quota. This includes both WarmUp and campaign emails. Google Workspace allows about 2,000 emails per day per mailbox, and new accounts or trial accounts get less. See Gmail sending limits in Google Workspace.
All aliases also share the domain's reputation. If one alias sends too much or gets spam complaints, it can hurt deliverability for the others.
We recommend:
- Keeping each alias sender at 30–50 emails per day, as with any other sender
- Adding up the WarmUp and campaign volume of every alias on the mailbox, and keeping the total well below Google's limit
- Setting up SPF, DKIM, and DMARC for the domain (see Domain Technical Setup)
Troubleshooting
| Problem | Likely cause | Fix |
|---|---|---|
| Email password or app password incorrect | The alias was entered in Sender Username (SMTP), or the App Password was created on a different account | Enter the primary mailbox in Sender Username (SMTP), and use an App Password created while signed in as the primary mailbox |
| The sender appears as the primary address instead of the alias (App Password method) | Sender Email Address (SMTP) contains the primary address | Click the Edit (pencil) icon next to the sender and change Sender Email Address (SMTP) to the alias |
| The sender appears as the primary address instead of the alias (OAuth method) | No alias was chosen in Select Sending Address | Click the Edit (pencil) icon next to the sender, pick the alias in Select Sending Address, and save |
| The alias is missing from Select Sending Address | The alias is not verified under Send mail as, or it already has a sender in SalesBlink | Verify the alias in Gmail (Step 1), or check Email Senders for an existing sender with that address |
| "Already exists" when connecting with OAuth | Every address on the mailbox already has a sender, or the primary address is connected through SMTP | Check Email Senders for existing senders; delete the SMTP sender for the primary address if you want to use OAuth |
| Leads receive emails from the primary address even though SalesBlink shows the alias | Gmail does not allow the mailbox to send as that alias, so it replaces the From address | Add and verify the alias under Send mail as in Gmail (Step 1) |
| Leads reply to the primary address | Use Different Email Address for Incoming Emails is checked, so Reply-To is set to the primary address | Edit the sender and uncheck the option |
| Application-specific password required | You used the regular Google password instead of an App Password | See Google Error - Invalid Login 534-5.7.9 |
If a sender still does not connect, check the steps in Unable to Connect to SMTP IMAP.
Frequently Asked Questions
Can each alias have WarmUp turned on separately?
Yes. Every alias is a separate sender in SalesBlink with its own WarmUp settings and WarmUp statistics. Keep in mind that all aliases send from the same mailbox, so they share one sender reputation. WarmUp on an alias is less effective than WarmUp on a separate mailbox.
Where can I see which aliases my mailbox has?
In two places: the Google Admin console (Directory → Users → the user → User information → Alternate email addresses), and Gmail settings (Settings → See all settings → Accounts → Send mail as). A Workspace alias must appear in both for SalesBlink to send from it. See Step 1.
Can I connect multiple aliases to the same Google Workspace mailbox with OAuth?
Yes. Sign in with the same primary mailbox once for each alias, and pick a different alias in Select Sending Address each time. You can change a sender's alias and sender name later from the Edit icon. See Method 1.
Do I need to connect the primary mailbox too?
No. You can connect only the aliases. The primary mailbox is used only to sign in to Google.
Do I need a separate App Password for each alias?
No. Aliases cannot have their own App Password. Use the same App Password from the primary mailbox for every alias.
Where do replies to an alias show up?
Replies arrive in the primary mailbox's Gmail inbox, since that is where all mail for the aliases is delivered. SalesBlink matches each reply to the email it answers, so it is linked to the right sender and sequence and shows up in the SalesBlink Inbox.
Is a Google Workspace alias the same as a separate Workspace user?
No. An alias shares one mailbox, one login, and one daily sending quota with the primary address. A separate Workspace user has its own mailbox and quota. To send more email in total, or to keep reputations fully separate, use separate Workspace users instead of aliases.
Does this work for free Gmail accounts?
Yes, the same steps work for aliases on a free @gmail.com account. Use Method 2, with the @gmail.com address as the Sender Username (SMTP). See Connecting a Free Gmail Account or Gmail Alias.
